The Best Speed-to-Lead Software for Agencies
What is the best speed-to-lead software for agencies?
There is no single best tool. Agencies running lead gen for clients need three things: an alert that reaches the client's phone in seconds, routing that works across multiple client accounts, and proof of response time they can show in a report. Podium, Zapier, Twilio, HubSpot and SignalSprint each solve a different part of that.
The mistake most agencies make is buying a CRM and hoping speed falls out of it. It does not. A CRM records what happened. Speed-to-lead is about what happens in the first sixty seconds, which is an alerting and routing problem, not a database problem.
What should an agency actually look for?
Four things, in order: how fast the client's phone rings, whether the alert says which lead and why it matters, whether one login manages every client account, and whether you can prove response time in a report. Anything that fails the first two is a reporting tool wearing an alerting badge.
Multi-tenant from the start. If you manage eleven clients, you need eleven separate lead flows without eleven separate logins and eleven separate invoices. Tools built for a single business make this painful.
Alerts the owner actually receives. An email is not an alert. A business owner running a job site does not read email. Push notifications, SMS and phone calls get through. Email does not.
Context in the alert itself. "New lead" is useless. "Roof replacement, SW6, submitted 40 seconds ago, viewed your pricing page twice" tells the owner whether to stop what they are doing.
Response-time reporting you can hand to a client. Agencies get fired because the client believes the leads are bad. Median time-to-first-call, per client, per month, is the single number that ends that argument.
Which speed-to-lead tools are worth comparing?
The honest shortlist is Podium, Zapier plus Twilio, HubSpot, and SignalSprint. Podium suits multi-location local businesses. Zapier and Twilio suit teams with an engineer and unusual requirements. HubSpot suits agencies already inside HubSpot. SignalSprint is built for the agency-managing-many-clients case.
Podium is strong for local businesses with reviews and messaging needs, and weaker as a multi-client agency console. It is priced per location, which adds up fast across a client roster.
Zapier plus Twilio is the build-it-yourself route. It is genuinely flexible and genuinely fragile: every client is a separate Zap, and a silently failed Zap looks exactly like a quiet week. Budget for someone to own it.
HubSpot is excellent at recording and reporting, and its workflow-based notifications are minutes-grade rather than seconds-grade on lower tiers. If you already live in HubSpot, start there before buying anything else.
SignalSprint was built for the agency case: one console across client accounts, intent scoring so the alert says why the lead is hot, and push notifications straight to the owner's phone. It does not try to be a CRM, and it is not the right answer if you want one system for everything.
When do you not need speed-to-lead software?
If you get fewer than about ten leads a week and one person watches the inbox, you do not need software. A shared inbox with a notification rule and a written rule that leads get called within five minutes will beat most tooling. Software earns its place when volume, multiple clients or handoffs make discipline unreliable.
Be suspicious of any vendor, including us, that tells you the tool is the answer. The tool removes the delay between a lead arriving and a human knowing about it. It cannot make anyone pick up the phone.
How fast does an agency actually need to respond?
Under five minutes, and ideally under one. Research from InsideSales.com across more than 100,000 call attempts found that contacting a lead within five minutes makes you roughly 100 times more likely to connect than waiting thirty. Harvard Business Review found 78% of buyers purchase from whoever responds first.
Drift's study of over 2,500 companies put the average lead response time at 42 hours. The gap between what the data demands and what most businesses do is the whole opportunity. It is also why the fix is usually organisational before it is technical: see [how to get a sales team to respond to leads faster](/learn/get-sales-team-to-respond-to-leads-faster).
